Information we collect

Depending on how you interact with us, we may collect:

  • Your name, email address and any information you include in an enquiry.

  • Your billing and delivery addresses, telephone number and order details.

  • Payment confirmations and information needed to process refunds.

  • Your newsletter subscription preferences and a record of your consent.

  • Technical information about your website visit, such as your IP address, browser, device and pages viewed.

Information comes from you, from transactions you make, and from our website and service providers. You may provide it online, by email or in person.

We do not receive or store your full payment card details. Card payments are handled by the payment provider used for the transaction.

How we use your information

Enquiries and orders

We use your details to answer questions, agree delivery arrangements, process purchases and deal with returns or problems.

Where this is necessary to take steps towards a purchase or fulfil an order, our legal basis is performance of a contract. For other enquiries, we rely on our legitimate interest in responding to people interested in our work.

You need to provide the information necessary to process and deliver an order. Without it, we may be unable to complete your purchase.

Business records

We keep relevant transaction records to meet accounting, tax and other legal requirements. Our legal basis is compliance with a legal obligation.

Newsletters

If you opt in, I may email you news about paintings, exhibitions and my work. I send these using my Yahoo email account.

Our legal basis is your consent. Buying a painting, making an enquiry or providing contact details at an event does not automatically subscribe you.

You can unsubscribe at any time by replying to a newsletter or emailing kategrimes150@yahoo.com. Withdrawing consent does not affect the lawfulness of earlier use of your information.

Contact details collected for executive coaching are not added to the art newsletter unless you separately opt in.

Website operation and analytics

We use technical information to operate and secure the website, relying on our legitimate interest in maintaining a functioning, secure service.

With your consent, we use Squarespace analytics cookies to understand how visitors use the website. Please see our Cookies Policy.

We do not use advertising trackers.

Who we share information with

We share information only where needed to provide our services or meet legal requirements. Recipients may include:

  • Squarespace, which hosts the website and supports its shop and analytics.

  • Yahoo, which provides our email service.

  • Payment providers and our bank, to process payments and refunds.

  • Delivery companies, to deliver your artwork.

  • Accountants or professional advisers where necessary.

  • Public authorities where disclosure is legally required.

We do not sell your personal information or give your contact details to other businesses for their own marketing.

Information processed outside the UK

Some providers, including Squarespace and Yahoo, process information outside the UK, including in the United States.

Transfers must use an applicable legal safeguard, such as UK adequacy regulations or approved contractual safeguards. Squarespace describes its arrangements in its Data Processing Addendum, and Yahoo explains its arrangements in its Privacy Policy.

You can contact us for further information about safeguards relevant to your information.

How long we keep information

We keep information only for as long as needed for its purpose:

  • Accounting and relevant order records are generally kept for six years from the end of the company financial year they relate to, or longer where legally required.

  • Enquiries are kept while we deal with them and for any necessary follow-up. We review them and remove information that is no longer needed.

  • Newsletter details are kept while you remain subscribed. After you unsubscribe, we may retain a minimal record to ensure we do not send further marketing and to demonstrate how your request was handled.

  • Information relating to a dispute may be kept until it is resolved and for any relevant legal period.

Cookie durations are explained in the information linked from our Cookies Policy.

Keeping information secure

We take reasonable steps to protect personal information against loss, misuse and unauthorised access. Access is limited to those who need it for the purposes described in this policy.

Your rights

Depending on the circumstances, you may have the right to:

  • Obtain a copy of your personal information.

  • Correct inaccurate or incomplete information.

  • Request deletion of your information.

  • Restrict how it is used.

  • Object to use based on legitimate interests.

  • Receive certain information in a portable format.

  • Withdraw consent where we rely on it.

These rights are subject to legal conditions. For example, we may need to retain accounting records even if you request deletion.

You have an absolute right to object to direct marketing.

To make a request, email kategrimes150@yahoo.com.

We do not use your information to make solely automated decisions that have legal or similarly significant effects on you.
